How Logtrain International (Pty) Ltd collects, uses and protects personal information, in line with the Protection of Personal Information Act 4 of 2013 (POPIA).
Who we are
This website, www.logtrain.africa, is operated by Logtrain International (Pty) Ltd (“Logtrain”, “we”, “us”), 9c Sandown Road, Cape Town, 7441, South Africa. Logtrain is the responsible party for the personal information described in this policy.
What we collect
When you send an enquiry through our website, we collect the details you enter:
- your name, email address and, if you provide them, your phone number and company name
- who the training is for, the number of people, the course you are interested in and how you heard about us
- your message
- the page you first arrived on and any campaign tags in the link you followed (for example from an email or advert), so we know which of our communications led to your enquiry
When your company books training, we also collect the delegate details needed to run the course and issue certificates. Where a course leads to a certificate recorded with an accrediting body, that body may require further delegate details, such as identity numbers. We collect these only when they are needed and tell you why at the time.
Each website enquiry is emailed to our team and a copy is kept in the password-protected admin area of our website. We also receive the information you choose to share when you phone, email or WhatsApp us.
How we use it
- to respond to your enquiry and prepare quotes and proposals
- to arrange, deliver and administer training, including certificates
- to keep records required by law or by accreditation rules
- to understand which of our communications bring in enquiries, so we can improve them
- to send you information about our training, but only if you are an existing client or have agreed to receive it. You can opt out at any time.
We process personal information with your consent, to carry out a contract with you or your employer, to meet legal obligations, or where we have a legitimate interest that does not override your rights.
Who we share it with
We do not sell or rent personal information. We share it only where needed, with:
- our training partner and accrediting bodies, where a course leads to an accredited certificate
- service providers who help us operate, such as our website host, email provider and the video platforms used for live online training (Zoom or Microsoft Teams)
- authorities, where the law requires it
Some of these providers store information outside South Africa. Where personal information leaves South Africa, we only use providers subject to adequate data protection laws or agreements, as POPIA requires.
Website, cookies and third-party services
Our website does not use advertising or tracking cookies. To link an enquiry to the page or campaign that brought you here, the site briefly stores this in your browser for the current visit only; it is cleared when you close the tab. Our pages load the Montserrat typeface from Google Fonts, which means your browser connects to Google’s servers. Clicking our WhatsApp links opens WhatsApp, which is operated by Meta under its own privacy policy.
How long we keep it
We keep personal information only as long as we need it for the purposes above or as the law requires. Enquiries that do not lead to a booking are deleted within 24 months. Training and certification records are kept for as long as accreditation rules require.
How we protect it
We use reasonable technical and organisational measures to protect personal information against loss, misuse and unauthorised access, including secure (HTTPS) connections on this website and restricted access to enquiry and training records.
Your rights
Under POPIA you may ask us what personal information we hold about you, ask us to correct or delete it, object to its processing and withdraw consent you have given. To make a request, contact our Information Officer using the details below. We may need to confirm your identity first.
If you are not satisfied with how we handle your information, you may complain to the Information Regulator (South Africa) at inforegulator.org.za.
